4. File Uploads and AI Model Processing

User Responsibility for Uploaded Files:

When you upload files to your chatbot's knowledge base, you acknowledge and agree that:

  • You are solely responsible for the content, accuracy, and legality of all files you upload
  • Uploaded files will be processed and used by AI models (including but not limited to Google Gemini, OpenAI, and Anthropic Claude) to generate responses
  • You have obtained all necessary rights, permissions, and consents to upload and process such files
  • You will not upload files containing sensitive personal information, protected health information (PHI), or other regulated data unless you have appropriate agreements in place
  • You are responsible for ensuring compliance with all applicable laws and regulations regarding the data contained in your uploaded files

Data Processing by Third-Party AI Providers: Your uploaded files and chat messages may be processed by third-party AI service providers (Google Gemini, OpenAI, Anthropic Claude) in accordance with their respective privacy policies and terms of service. We are not responsible for how these third-party providers handle your data.

5. Business Associate Agreement (BAA)

Your Responsibility for BAA Agreements:

If you are subject to regulations such as HIPAA (Health Insurance Portability and Accountability Act) or other data protection requirements that mandate Business Associate Agreements (BAAs), you acknowledge that:

  • It is your sole responsibility to obtain and maintain appropriate BAA agreements with the relevant AI model providers (Google, OpenAI, Anthropic) if required for your use case
  • VueBot does not provide BAA agreements on your behalf
  • You must ensure that any BAA agreements you enter into with AI providers cover the use of their services through VueBot
  • You are responsible for verifying that your chosen AI model provider offers BAA agreements and that such agreements meet your compliance requirements
  • Failure to obtain necessary BAA agreements may result in non-compliance with applicable regulations, for which you are solely responsible

Important: Before uploading any protected health information (PHI) or other regulated data, you must ensure you have appropriate agreements in place with the AI model providers. VueBot is not a party to any BAA agreements between you and AI model providers, and we cannot guarantee that any AI provider will enter into a BAA with you.

6. Data Storage and Security

We implement appropriate technical and organizational measures to protect your information:

  • Encryption of sensitive data at rest and in transit
  • Secure API key storage and management
  • Regular security assessments and updates
  • Access controls and authentication mechanisms

However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

7. Data Sharing and Disclosure

We may share your information in the following circumstances:

  • AI Service Providers: Your data may be shared with AI model providers (Google Gemini, OpenAI, Anthropic Claude) to process your requests and generate responses
  • Service Providers: We may share information with third-party service providers who perform services on our behalf

Note that files and data processed by third-party AI providers may be retained according to their respective retention policies.

11. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that differ from those in your country.
